Switching to Chocka — we move you over
The reason most people stay on a platform they have outgrown is not loyalty. It is the mental image of a weekend spent copying names into a spreadsheet, and the fear of a customer turning up to a class that no longer exists.
So we do the move. Not “we provide migration tools” — we take your export and build your studio on Chocka ourselves, and you check it before anyone sees it. Included on Grow and Thrive.
The order of operations
This is the part worth getting right, and it is the same whatever you are moving from. The short version: export first, cancel last.
- Export from your current platform while your account is fully active. Whatever your platform offers, take it now rather than after any plan change or cancellation — and check your own contract for what happens to your data when you leave.
- Send it to us. We read it and tell you exactly what will and will not come across, before you cancel anything and before you pay us anything.
- We build your studio on Chocka under your branding — your customer list, passes and credits, gift balances, class types, timetable and upcoming bookings. You do nothing during this part.
- You check it before it is public: your timetable, your prices, a few customer records you know well.
- You go live on a date you pick, usually the start of a week. We connect your Stripe account and email your customers to claim their accounts.
- Run both in parallel for as long as you want to, then close the old account.
Honour your existing notice period
Run both for a week if you want to. There is no rule against it, and it is a cheap insurance policy. Chocka has no minimum term and no notice period, so there is nothing on our side forcing a hard cutover.
Do not cancel until you are live. Build, check, go live, then close the old account. In that order.
If your current platform requires notice, you are paying for that period regardless — so use it as overlap rather than as a deadline. Check your own agreement for what notice you owe and what happens to your data afterwards.
What moves, what re-confirms, what stays behind
The honest version. What we can actually retrieve depends on what your current platform puts in its export, which is why step 2 above comes before you commit to anything.
Moves across
- Your customer list — everyone, with contact details.
- Passes and remaining credits — part-used cards keep their balance.
- Gift balances — as far as your export includes them.
- Class types and your timetable, rebuilt on Chocka.
- Upcoming bookings — your customers keep the classes they have already booked.
Needs your customers to act
- Everyone sets a password once, the first time they use your new site. Nothing is lost if they take a month over it — their bookings and balances are waiting.
- Recurring members re-authorise their card. Chocka does not migrate stored cards. PCI-compliant card-data migration between processors does exist — Stripe documents a PAN import process — but it requires cooperation from your current provider and is not something we offer today. On Chocka, members re-authorise their card on a pre-filled link. Some will not complete it; we will show you who, so you can follow up.
Stays behind
Historical bookings and past transactions. We hand these to you as a file to keep. They do not become live records on Chocka; your new system starts clean, because half-migrated history is worse than none.
Two things we will not promise
That every member re-joins. A pre-filled link is about as low-friction as re-authorising a card gets, and it is still not zero. We are not going to quote you a number we cannot hit.
An automatic price match on migrated members, until we have seen your data export. Whether we can hold every member on exactly their current price depends on what your old platform puts in the file. What we will do either way: nobody is charged on Chocka for a period they have already paid for, and you approve every member’s price before a single charge goes out.
Questions about switching
- What does it cost?
- Nothing. The managed migration is included on Grow ($49/month) and Thrive ($99/month). On the free Launch plan we will help where we can, but we cannot promise a queue position — the honest reason is that this is hand-work, and the paid plans are what fund the hours.
- Which platforms can you move me from?
- Send us an export from whatever you are on and we will tell you honestly what we can get across before you commit to anything. Spreadsheets, paper diaries and a website with an email address on it are all normal starting points too.
- Do you actually do it, or do I upload a file?
- We do it. A person, by hand, with your export. That is what “managed” means here, and it is deliberately not a self-service importer.
- How long does it take?
- We will give you a date once we have seen your export. Every studio’s timetable is a different amount of work, and a promise made before we have looked at your data is not worth much.
- Will my customers be disrupted?
- Very little. Their bookings, passes and credits carry over. Two things do need them to act: everyone sets a password once on your new site, which happens the first time they book rather than on go-live day; and recurring members re-authorise their card.
- Do I have to commit to anything?
- No. No contract, no minimum term, no notice period, and a one-click export of everything on any plan — including on the way out.
